Customer Data Retention Policy

1. Data Retention Period

We retain customer data during the active subscription period and for a default period of 6 months after contract termination, unless a different retention period is agreed with the customer.

This retention period allows us to support service delivery, customer-requested analytics, operational continuity, and contractual or legal obligations.

Customers may request a modification to this retention period based on their business requirements. Where technically feasible, our team can configure tenant-specific retention settings accordingly.

2. Data Deletion & Account Disconnection

  • Customers have control over their connected accounts and may request deletion of their data at any time.
  • Customers can disconnect their accounts from our platform by deactivating the connected account.
  • Once disconnected, no new data will be collected or received from integrated platforms such as Meta.
  • Where supported, we unsubscribe or deactivate the relevant integration from the connected platform.
  • Previously stored customer data is scheduled for deletion as per the applicable retention/deletion policy.
  • Upon receiving a customer deletion request, customer records are deleted from active systems within 28 days, subject to legal, contractual, and operational obligations.
  • Related operational logs are retained for up to 30 days by default.
  • Data stored in backups is removed automatically once the applicable backup retention period expires.

Customer Data Usage & Sharing Policy

1. Data Processing & Third-Party Services

We use trusted third-party infrastructure and service providers to operate our platform securely and efficiently. Customer data may be processed by the following service providers only where required for service delivery:

  • Amazon Web Services (AWS): Our platform is hosted on AWS. Customer data may be stored and processed through AWS services such as compute, storage, databases, logging, and monitoring systems. Data is encrypted both in transit and at rest using industry-standard security practices.
  • Auth0: Auth0 is used for authentication and identity management. It may store basic user account information such as name, email address, and login-related metadata. Auth0 does not process customer application content.
  • Azure OpenAI / OpenAI: Our platform may use Azure OpenAI / OpenAI to power AI-driven features. Depending on the enabled workflow, selected customer data or publicly available data may be processed to generate insights, summaries, classifications, recommendations, or other AI outputs.

We do not sell customer data to third parties.

We can disclose our subprocessors/service providers to customers upon request or as part of contractual and security review processes. If a new material subprocessor is added that processes customer data, we will follow the notification process agreed with the customer.

2. Data Security & Protection

We implement strong security measures to safeguard customer data:

  • Encryption of data at rest and in transit
  • Controlled access to infrastructure and services
  • Role-based access controls
  • Tenant-level data separation
  • Regular monitoring and logging for security events
  • Data deletion workflows for disconnected accounts and terminated customers

We do not sell customer data to third parties.
